How to Customize a Compliance Profile at the Party Level

Compliance Profiles are typically assigned to a Party Type and the Party Type is typically associated to a Party. While that may be the typical use, you can also customize a Compliance Profile at the individual Party level if the Party has a unique set of requirements. After locating the party needing to be customized, edits can be made within the Party, via the Compliance tab.

How to Add a Requirement

1 Click on the editing pencil on the Compliance tab within the Party.

Note: After clicking the editing pencil, you will see the warning message: Editing requirements will create a custom compliance profile, assigned only to "Party Name". If you want to update the profile “Compliance Profile Name” and apply changes to all associated parties, go to the Compliance Profile Settings page. This will confirm you are customizing the profile to the desired party and not all parties associated with the compliance profile being edited.

2 In the new window, locate the Compliance Module you would like to add onto and click Add New Requirement....

3 Click on the requirement you would like to add. If the desired requirement is not listed, use the + Add Custom Requirement option to create a custom requirement.

4 Select the must be present or must be greater or equal to option. If selecting must be greater or equal to you will need to set the limit as well after selection, which is a numeric value. If you select must be present, this will create a check box within the newly formed compliance profile for this requirement.

5 Click the blue Add button.

6 Once all adjustments are complete, click the Save changes button at the top right of the page.

How to Edit a Requirement

2 Locate the requirement that needs to be adjusted for this party and click the dropdown to the right of it.

3 Select Edit Requirement

4 Make the desired changes and then click the Update button.

5 Once all adjustments are complete, click the Save Changes button at the top right of the screen.

How to Delete a Requirement

2 Locate the requirement that should not be required for this party and click the dropdown to the right of it.

3 Select Delete Requirement.

4 Confirm delete by clicking the Delete Requirement button.

How to Waive/Override a Requirement

Introduction

Waiving/Overriding a requirement is an alternative to deleting a requirement at the party level. Once the requirement has been waived/overridden, the requirement will no longer be required for this particular party to be marked as compliant. You can select for the requirement to be waived/overridden up to a certain date or to always be waived/overridden. It is recommended if the requirement should never apply to remove that requirement from the party's Compliance Profile

For example, if a subcontractor does not have a certain coverage that is typically required per the standard compliance profile, however after talking to the subcontractor and evaluating the work it is determined that coverage may not be needed at this time. The Organization decides that due to this party being a lower risk overall, the subcontractor is okay to continue with the work for now, but next year they will need the coverage in order to continue doing business. The organization goes in and waives the requirement setting an expiration date so when new documents are requested the Party will see the requirement once again listed as a needed requirement.

Overriding/Waiving a Requirement

On the Party's Compliance tab, scroll down to the requirement needing to be waived.

2 Select the 3 Dots to the right of the requirement that is needing to be waived or overridden.

3 Click Waive Requirement or Override Requirement depending on the verbiage you would prefer. Both selections will yield the same outcome.

4 In the new pop up, add any Notes you would like to include and select the date the waive/override should be removed. A note is handy if this action was the result of manager approval. You could put who approved and on what day in the notes field.

Note: If no date is selected, the requirement will continue to show on the list of requirements sent to the party but will continue to show as waived/overridden. When selecting a date, be sure the date expires before a new document request goes out. This way, the Party will see the requirement as needed upon renewal.

For example if a waived requirement is needed for the next policy term and automatic reminders are set to go out 1 month before the renewal date, set the expiration date to expire earlier than that 1 month reminder. Standard practice is to set the date to 1 day prior to the first automatic expiring document notification.

Click on the Waive or Override button, depending on your previous selection.

6 Once complete you will see the requirement marked as Waived or Overridden.
