How to Upload and Create your PDF Form Document
To create the form you need to upload a PDF file and add the special formatting fields that allow you to collect form information and digital signatures from Parties and Requesters.
1 Using the left Navigation bar, click on Settings
2 Click on Fill & Sign
3 Click the blue + Create Form
4 Enter the required information, upload the PDF document, and click the blue Next button.
Note: Determine if the Applies to all Projects option should be left enabled. When the option is enabled (pictured below), the document will only need to be completed once, regardless of how many projects a party is a member of.
If you need a party to complete the document for every project they are a member of, then disable the option and make sure this form is associated to the compliance profile used with that project. This will ensure that the signers are asked to complete the document on each project. This can be useful for asking a party to complete a subcontract for each project a party is working on without needing to re-create the subcontract for each project.

How to Format the PDF
Now, add the fields needed to enable users to complete this form. You can add text fields, checkboxes, and signature fields. You can assign fields to be completed either by a party or by the requestor.
1 Add fields for parties by dragging and dropping the orange boxes to the right onto the document directly. You can select Text, Checkbox, and Signature options depending on contract needs. Once the boxes are placed on the document, you can adjust the boxes by dragging and dropping to move or using the blue dots around the box to resize to fit the line.
Note: Any box added to the PDF becomes a required field.
2 Add fields for requestors (if needed) by changing the dropdown from Party to Requestor(Me) then following the same process as step 1.

3 Click Save in the upper right corner.

Assigning a Form to a Compliance Profile
TrustLayer leverages the Compliance Profile feature in order to ensure the form is completed by the appropriate users. This also enables you to automatically verify that the form has been completed and that the party is in compliance based on the requirements you've assigned them.
1 Using the left navigation bar, click on Settings.
2 Click Compliance Profiles.
3 Click the blue + New Profile or editing pencil to the right of an existing profile.
4 In the left menu, enable Fill & Sign under Form Modules if it isn't already enabled.
5 Locate the compliance subject Fill & Sign and enable Add New Form...
6 Select the form you created in the steps above.
7 Assign this compliance profile to parties who are required to complete this form.

Send a Document Request to the Party
TrustLayer leverages the Compliance Profile feature and its existing document verification workflows in order to send documents to parties for them to complete. When you are ready to have a party utilize Fill & Sign, send that party a document request.
1 Using the left navigation bar, Click Parties.
2 Click the party who is assigned the compliance profile you created and assigned in the above steps.
3 Send a document request using the Send Reminder shortcut.
4 In new pop up, you can add a message, attachments, and a due date if desired, and then click the blue Confirm and Send button.

Completing a Form as a Party
After sending the party a document request, the party can complete the form following the steps below:
1 Using the document request email they received from TrustLayer, the party will want to click the link to view the request.
Note: To ensure the validity of the digital signature, the party must access the document request landing page from the link in the document request. If access is attempted from a shared link or directly from the party detail page, the system will prevent access to the document.
2 Click the blue Fill & Sign button.3 Complete the fields and sign if required.
4 Click the blue Save button in the upper right.
5 Click the blue I Agree button.
6 Click the Close button.
7 Upload any other documentation required to fulfill any outstanding requirements within the document request.

Completing a Form as the Requestor
The requestor can complete any required forms while logged into TrustLayer by accessing the Party Detail page.
1 Using the left navigation bar, Click Parties.
2 Select the party who was sent the document request that contained a form
3 On the overview page click the blue Fill & Sign button.
4 Complete the fields and sign if required.
5 Click the blue Save button in the upper right corner of the window.
6 Click the blue I Agree button.
7 Click the Close button to complete the signing process.

Verify the Requirements are Complete
After both the Party and the Requestor complete the form, you will want to review the documents as you would all other documents uploaded to TrustLayer.
There are many ways to access documents needing to be reviewed. Below are steps on how to review the exact document for the exact party we want to review.

1 Using the left navigation bar, Click Parties.
2 Select the party who you would like to review.
3 Click on the Documents section of the Party's profile.
4 Click on the Document needing to be reviewed.
5 Review all information was completed and change the TO REVIEW toggle to show REVIEWED.

Email notification for Fill & Sign
Once a party has signed a Fill & Sign the requestor user (the user that initially sent the document request) will be notified via email.
